    It’s our fault that we did not explain well and cause the confusion.
    When we advised 3 months in the early email, we meant to ship these packaging in 3 months, and when we talked about 1 month, we meant to receive your order for these packaging in 1 month, but the ship date can be Nov.
    Pls advise if you will be able to place the order in 1 month or you need more time. We will also improve and take care in future communication. Thank you.
    2 Re. The communication efficiency
    We review the emails of these days. For the email back and forth, we think the most important reason is because we do not know well about your company internal organization and each person’s work scope, so sometimes we do not address the right person to clarify our questions, and the message we received from different people is not consistent. We got this problem when we got back to you for Vet and BL.
    Pls advise your company internal organization’s function, and we can contact the right person in future communication. Thank you.
    Apology again for any inconvenience. We will take care and improve our communication in future.

    We did notice it take too many back and forth communication on B/L & Vet, it sounds to me that our people don’t know well about your internal organization, we address question to improper people which come back inaccurate info and bring confusion to us, this create lots of unnecessary back and forth communication & make both parties loss efficiency.
    In order to improve communication efficiency, could you pls advise who we should address for below area;
    1. PO placement, PI (We notice both Mislay and Angela place Pos.)
    2. Any question related to PO
    3. logistic & Customs clearance, including import permit, Shipping document / Vet Document, etc.
    4. New product development
    5. Packaging & artwork approval
    6. Production sample approval
    7. Accounting (We suppose we should contact Michael Reid, pls double cfm)

     商務(wù)英語電子郵件的正文寫作應(yīng)該遵循五C原則,即Correctness、Conciseness、Complete、Clarity和Courtesy原則。
     準(zhǔn)確原則
     由于商務(wù)英語電子郵件涉及的是商務(wù)活動(dòng)雙方的權(quán)利、義務(wù)關(guān)系,其準(zhǔn)確性對(duì)商務(wù)治理與溝通至關(guān)重要。具體而言,不僅電子郵件的英語語法、標(biāo)點(diǎn)符號(hào)和拼寫要做到準(zhǔn)確無誤,電子郵件內(nèi)容還要敘述準(zhǔn)確,以免引起誤會(huì)糾紛。
     簡(jiǎn)潔原則
     簡(jiǎn)潔原則是商務(wù)英語寫作最重要的原則,指在不影響完整性和禮貌性的前提下,盡量使用簡(jiǎn)單句子和簡(jiǎn)短詞語。一封拖沓冗長(zhǎng)、措詞復(fù)雜的電子郵件既浪費(fèi)寫的時(shí)間,也會(huì)給閱讀者帶來不必要的麻煩,故商務(wù)英語電子郵件應(yīng)以簡(jiǎn)明扼要為第一要?jiǎng)?wù)。
     在具體寫作中,商務(wù)英語電子郵件呈現(xiàn)出的句法特征是句子結(jié)構(gòu)簡(jiǎn)單明了,有大量省略句和不完整句。其詞匯特征是用語簡(jiǎn)潔,語言簡(jiǎn)明扼要。
     另外,為了節(jié)約時(shí)間和空間,電子郵件中可使用縮略語,如U表示you,Pls表示please,Info表示information,Qty表示quantity,P“C表示piece,L“C表示LetterofCredit,F(xiàn)OB表示FreeonBoard。
     例1 It is very difficult to sell man hole covers in France.This product must have the quality certificate issued in France.
     例2 Price:FOB Shanghai USD 96“PC.
     例3 Hope you can accept it.
     例1中的兩個(gè)單句具有明顯的因果關(guān)系,但寫并不使用表達(dá)因果關(guān)系的連接詞如since、because,這種舍長(zhǎng)句、復(fù)合句,選短句、簡(jiǎn)單句,喜并列、棄從屬的句法特征在商務(wù)英語電子郵件寫作中十分常見。例2中縮略語的使用,例3中不完整句的選擇,反映了與普通商務(wù)信函相比,商務(wù)電子郵件更傾向于非正式文體,更為口語化。
     完整原則
     商務(wù)電子郵件內(nèi)容應(yīng)力求具體、明確、完整,提供讀者所需要的信息,尤其像盤、詢問貿(mào)易條件等需要回函的電子郵件,更需要清楚完整,因?yàn)橹挥邪唧w信息的郵件,才能達(dá)到良好的溝通效果。郵件是否完整,可以用5W1H來檢驗(yàn),即who,when,where,what,why和how。
     清楚原則
     商務(wù)英語電子郵件的寫作要做到層次清楚,用詞準(zhǔn)確。具體表現(xiàn)在:
     例1 We will deliver your goods soon.
     例2 中significant一詞意為明顯的、不小的,語義模糊,故可以用具體數(shù)字替換。例2中soon表示不久、很快,語義不明確,沒有指出具體的供貨時(shí)間,可改為具體的年月日。
     禮貌原則
     商務(wù)英語電子郵件應(yīng)遵循措詞婉轉(zhuǎn)、禮貌的原則。鑒于電子郵件直接影響到整個(gè)交易的成敗,買賣雙方應(yīng)十分注重措辭方式,要婉轉(zhuǎn)、禮貌,使對(duì)方輕易接受。在寫作電子郵件時(shí),可以通過使用虛擬語氣、委婉語氣等方法迂回地表達(dá)觀點(diǎn),提出要求。
     例1 If it is not for the larger orders we receive from a numbero four regular customers,we could not have quoted for supplies even at that price.
     例2 I would appreciate it if you could give me your best quotations for 65,000 pieces.
     例1中虛擬語氣和例2中委婉語氣的使用,緩和了商務(wù)談判的語氣,既明確了自己的立場(chǎng),又使對(duì)方的面子免于受損,語氣自然誠懇,禮貌得體,很輕易為對(duì)方接受。
     三、結(jié)語
     隨著國(guó)際商務(wù)活動(dòng)的不斷擴(kuò)展,商務(wù)英語電子郵件的重要性也日益明顯。同時(shí),電子商務(wù)的普及,往往會(huì)讓寫忽視商務(wù)英語電子郵件應(yīng)有的規(guī)范和格式,難免會(huì)出現(xiàn)這樣或那樣的問題。然而準(zhǔn)確規(guī)范的英文郵件,不僅能反應(yīng)寫信人的英語及業(yè)務(wù)水平,還可以體現(xiàn)寫信人為人處事的態(tài)度和風(fēng)格,有助于建立良好的商務(wù)關(guān)系,最終對(duì)達(dá)成貿(mào)易起到重要的作用。因此,有必要熟悉商務(wù)英文電子郵件應(yīng)有的規(guī)范和格式,遵循郵件的寫作原則。

    1.書寫格式
    (1)寄件人地址姓名應(yīng)寫在信封左上角。
    (2)收件人地址姓名應(yīng)寫在信封右下角。
    (3)用法文、英文書寫時(shí),按姓名、地名、國(guó)名逐行順序填寫,地名、國(guó)名用大寫字母書寫。 。
    (4)用中文書寫時(shí),按國(guó)名、地名、姓名逐行順序填寫。
    (5)用法文或英文書寫以外的文字書寫時(shí),寄達(dá)國(guó)國(guó)名和地名應(yīng)用中文或法文、英文(字母要大寫)加注。寄件人名址如只用中文書寫時(shí),必須用法文、英文或寄達(dá)國(guó)通曉的文字加注我國(guó)國(guó)名和地名。
    (6)寄往日本、韓國(guó)以及港、澳地區(qū)的特快郵件封面收、寄件人名址可以用中文書寫。
    2.信封要求
    (1)不準(zhǔn)使用舊信封或廢舊紙張和有字紙張制成的信封裝寄。
    (2)信件應(yīng)裝入標(biāo)準(zhǔn)信封內(nèi),并將封口粘固。
    (3)如用透明窗信封裝寄,透明窗必須是長(zhǎng)方形的,其長(zhǎng)的一邊應(yīng)和信封長(zhǎng)的一邊平行。信件應(yīng)適當(dāng)折疊,使其在信封內(nèi)有所移動(dòng)時(shí),收件人的姓名地址仍能通過透明窗清晰露出。
    (4)透明窗應(yīng)該用在燈光下不反光的透明紙制成的姓名地址仍能通過透明窗清晰露出。
