Job Title: Receptionist
Department: Administration
Report to: Administration Manager
Scope and Purpose of Job:
To provide a reception service for schools.
Key Tasks and Responsibilities:
Receive all visitors to school in accordance with school procedure.
Handle visitors to the school in appropriate manner.
Register visitors and issuing badges as indicated in school procedure.
Notify relevant colleagues that visitors have arrived.
Deal with pupils and colleagues at reception.
Ensure that the waiting area is tidy and welcoming for visitors to the school.
Answer the telephone and deal with calls as appropriate.
Answer the telephone using the standard greeting agreed by the school.
Transfer calls to colleagues in other parts of the school.
Take messages and pass them onto colleagues in the agreed manner.
Deal appropriately with anxious or upset callers.
Make calls as directed by line managers.
Routine clerical activities - these can be done when there are no callers and must not take the receptionist away from the receptionist area
Receive and sign for deliveries
Mail duties.
Collate materials.
Input data.
Photocopy material.
Fax and e-mail as directed by line managers.
